A new office can look ready long before it is ready to trade. Desks may be in place and keys handed over, yet a missing data cable, weak Wi-Fi signal or untested phone system can stop staff working on day one. This office relocation technology guide explains how small and mid-sized businesses can plan an office move that protects productivity, security and customer service.

The most successful relocations treat IT as a business-critical workstream, not a final task for moving week. Your network, internet connection, cloud access, devices, meeting rooms and security controls all need to be considered early, alongside furniture, access arrangements and building works.

Start technology planning before you sign off the move

Ideally, technology planning should begin as soon as a new premises is being considered. Before committing, assess whether the building can support the way your team works. A smart-looking office with limited broadband availability, poor mobile signal or restricted cabling routes can create unexpected cost and delay.

Ask for details of available internet providers, lead times, building access rules and existing network infrastructure. In some commercial properties, a new leased line or fibre installation can take weeks or months, especially where landlord approval or wayleave arrangements are needed. If your current connection is coming with you, confirm whether it can be transferred and whether there will be a period without service.

A site survey is the practical starting point. Wi-Fi needs professional placement, not just a router near the internet socket. Access points should be positioned according to the layout, wall materials, expected user numbers and areas where video calls take place. Warehouses, older properties and multi-floor offices often need particular attention. A wireless survey can prevent dead spots, unreliable calls and frustrated staff from becoming normal operating conditions.

Segmentation is equally valuable. Staff devices, guest Wi-Fi, phones, CCTV and other connected systems should not all sit on the same network. Separating them limits risk and makes it easier to identify faults without affecting the entire business.

Protect security during the move

Office moves create security gaps because equipment is disconnected, staff are busy and routines change. Avoid treating security as something to review after everyone has settled in. It should be part of the move plan from the outset.

Start with an asset register. Record each laptop, desktop, monitor, mobile device, printer and server, together with its assigned user and serial number. Use a documented handover process for equipment moving in vehicles or held temporarily off site. This is particularly relevant for businesses handling financial, patient, legal or educational information.

Review who has access to systems and premises. Former staff, contractors or previous tenants should not retain access to business applications, shared drives, alarm systems or wireless networks.
